How Estate Management London collects, uses and protects personal information, how long we keep it, and your rights over it.

This notice explains what personal information Estate Management London Limited holds, why we hold it, and what you can ask us to do about it. It applies to landlords, tenants, prospective tenants, contractors and anyone who contacts us.

Who we are

Estate Management London Limited is the data controller for the information described here. We are registered in England & Wales, company number 06703105, with our registered office at 16 Great Queen Street, Covent Garden, London WC2B 5AH, and we are registered with the Information Commissioner’s Office.

Our lawful bases

  • Contract. To enter into and perform a tenancy or management agreement.
  • Legal obligation. Right-to-rent checks, deposit protection and the prescribed information, anti-money-laundering, gas and electrical safety, tax reporting.
  • Legitimate interests. Administering properties, pursuing arrears, keeping records of what was agreed, and defending or bringing legal claims. We balance these against your interests, and you may object (see Your rights).
  • Consent. Where we ask for it explicitly. You may withdraw it at any time.

Who we share it with

Only where it is necessary: the landlord or tenant on the other side of your tenancy, referencing and credit-check providers, deposit protection schemes, contractors attending your property, utility providers and local authorities where we are obliged to notify them, our accountants, solicitors and auditors, and law enforcement or regulators where the law requires it.

We do not sell personal information, and we do not share it for marketing.

How long we keep it

We keep tenancy and management records for six years after the end of the relationship, which is the period during which a claim may generally be brought. Anti-money-laundering records are kept for five years from the end of the business relationship. Unsuccessful applications and general enquiries are deleted within twelve months.

Cookies

This website does not set cookies. It carries no analytics, no advertising trackers and no third-party fonts or scripts, so nothing is stored on your device and nothing about your visit is shared with anyone else. Our web host keeps standard server logs, including IP addresses, for security and diagnostic purposes.

Your rights

You may ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it, restrict what we do with it, or provide it in a portable form. You may also object to processing we carry out on the basis of legitimate interests.

Write to office@emluk.com. We will respond within one month. There is no charge.

If you are not satisfied with how we have handled your information, you may complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113. We would ask you to raise it with us first.
